The short version
Beyond the Vet Vitals keeps a health record for your pet. That record is yours. We do not sell it, we do not advertise in the app, and we do not share it with anyone else, apart from the few companies named below that store or process it for us.
You can use the app without an account at all — in that case your records stay on your device and never reach us.
Who we are
Beyond the Vet Vitals is provided by BeyondTheVetClinic Ltd, a company registered in England and Wales (company number 17344519), whose registered office is 7 Bell Yard, London WC2A 2JR. We are the data controller for the personal data described here.
We are registered with the Information Commissioner’s Office (ICO), registration number ZC255113. You can check that entry on the ICO’s public register at ico.org.uk.
What we store
About your pet: their name, species, breed, age or date of birth, microchip number, allergies, conditions, and everything you choose to record — weights, temperatures, check scores, medications, vaccinations, notes, and any photos or videos you add.
About you: if you create an account, your email address and, if you set one, a password. The password is stored only in scrambled (hashed) form, so we can never read it. That is all we ask for.
About people you add: the vet practice, boarding, dog walker or other contacts you list for a pet (their names, email addresses and phone numbers), the names and roles of the people who help care for your pet, and the emergency contact you enter. They are used only to show you who looks after your pet and to address the summaries you choose to send. If you are listed in someone’s app and want your details removed, email us.
Feedback: if you send us feedback from the app (you need to be signed in), we keep your message, whether it was a problem or an idea, which account sent it, and a short description of your device and app version (for example the phone model, system version and screen size), so we can understand the problem and reply to your account’s email address. Each message is emailed to our team so we can read and answer it.
Technical: like any online service, our hosting provider records your device’s internet (IP) address and the type of device when the app connects to our servers. We use these logs only to keep the service secure and working.
The app does not track your location, does not use advertising identifiers, and contains no advertising software. It does not record how you use the app: the only usage figures we see are subscription totals from RevenueCat, such as how many trials become subscriptions.
Where it is kept
Without an account, your records are stored only on your device (and in your phone’s own backup, if you use one). They never reach us.
With an account, your records are also stored on our behalf by Supabase, on servers in London, so they survive a lost phone and reach your other devices. Data is encrypted in transit and at rest, and access rules mean an account can only ever read its own records.
Photos and videos you add are stored in the same way, and are only readable by your account. They are kept exactly as you add them, so if your camera saved where a photo was taken, that stays in the photo.
Subscriptions
Subscriptions are bought through the store you got the app from — the App Store (Apple) or Google Play (Google) — which takes the payment. We never see your card or bank details.
To know whether your household has a trial or subscription, the app uses RevenueCat, a subscription service working on our behalf. RevenueCat receives the store’s record of your purchases (what you bought, when, and when it renews or ends), basic details of your device and app version, and an identifier: your account ID if you are signed in, otherwise a random one the app creates. It does not receive your pet’s records or your email address.
AI suggestions
The Suggest monitoring button — Smart setup when you add a pet, Smart updates when you change a pet’s conditions — uses Anthropic, our AI provider, to suggest which tracking modules to switch on. When you add a pet it sends the description you type about their health, with their species, breed and age. When you update a pet’s conditions it sends the update you type, with their species, the condition already on file and the modules already switched on.
We add nothing else — not your pet’s name, your email or any photos. But whatever you type in the box is sent as you wrote it, so leave out anything you would rather not share. Anthropic does not use it to train its models, and deletes it within 30 days unless the law requires it to keep it longer or it is flagged as misuse of Anthropic’s service.
Both features need an account, and we keep a daily count of how often each account uses them, to prevent misuse. They are optional: you can choose the modules yourself instead.
Voice notes
Where the app offers dictation, it uses your phone’s built-in speech recognition. On iPhone that is Apple’s, and the audio may be sent to Apple to turn it into text. We never receive the audio; only the text you keep is saved to your record.
Reminders
Reminders are set up on your phone itself, and the notifications never pass through us. If you have an account, the reminder times you choose for a medication are saved with that medication, like the rest of its record.
Sharing with your vet
Nothing is sent to your vet automatically. When you use the share, export or visit-prep features, you choose what goes and who it goes to, using your own email or messaging app.
Who helps us run the app
Supabase (accounts and storage), RevenueCat (subscriptions), Anthropic (AI suggestions), Resend (which delivers feedback from the app to our team’s inbox) and Google (our business email) act only on our instructions. Their contracts with us require them to protect your data at least as well as this policy does.
Supabase stores account data on servers in London. Supabase is a US company, so its staff and suppliers may sometimes access it from outside the UK. RevenueCat, Anthropic, Resend and Google process data in the United States. To protect data that leaves the UK, we rely on the UK’s approved contract terms for international transfers (the UK Addendum to the standard contractual clauses), which are part of each provider’s data processing terms. Email us for a copy.
Why we are allowed to use your data
We use your records, email address and subscription status to provide the app you have chosen to use — that is our contract with you. We count AI feature use, keep short server logs and read your feedback because we have a legitimate interest in keeping the app secure, preventing misuse and improving it. You can object to these uses, and we will stop unless we have a strong reason not to.
How long we keep it
Your records, photos and videos, and the daily count of your AI feature use: for as long as you keep your account. When you delete it, they are removed from our live systems straight away, and copies in our hosting provider’s routine backups expire within 30 days.
Feedback: for as long as you keep your account, and deleted with it. Copies emailed to our team inbox are deleted within 12 months. Resend, which delivers them, keeps its own delivery records for a short time under its own policy. Ask us and we will delete your feedback sooner.
Purchase records: RevenueCat’s copy is deleted when you delete your account. Apple and Google keep their own records of what you bought, under their own policies.
Server logs: deleted automatically within 28 days.
Text sent to the AI features: deleted by Anthropic within 30 days, with the exceptions above.
Deleting your data
You can delete your account and everything in it from inside the app: sign in, tap the person icon at the top right of your list of pets (Your account), then Delete my account. That removes your records, your photos and videos, your feedback, your purchase history at RevenueCat and your login from our systems. It cannot be undone.
Copies of feedback already emailed to our team inbox are not removed straight away; they are deleted within 12 months, or sooner if you ask.

Deleting your account does not cancel a subscription. Cancel it first in the App Store or Google Play, or the store will keep charging you.
Deleting your account clears its records from the phone you delete it on. Any other phone or tablet you signed in on keeps its copy until you sign out or delete the app there.
Signing out removes this account’s records from the device you are using, while leaving your cloud copy intact so it returns when you sign back in.
If you have never created an account, deleting the app removes everything (apart from any copy in your phone’s own backup).
Your rights
Under UK data protection law you can ask to see the personal data we hold about you, to correct it, to delete it, to limit how we use it, to receive a copy to take elsewhere, or to object to how we use it. You can also stop using the AI features, sign out or delete your account at any time. Email support@beyondthevetvitals.com and we will reply within one month; if a request is complicated we may need up to two months more, and we will tell you why.
If you are unhappy with how we have handled your data, tell us first at support@beyondthevetvitals.com: we will acknowledge your complaint within 30 days and look into it. You can also complain to the Information Commissioner’s Office: ico.org.uk or 0303 123 1113.
Children
The app is for adults aged 18 and over.

Beyond the Vet Vitals is a home health-tracking and awareness tool. It does not diagnose, and it does not replace examination or treatment by a veterinary surgeon. If you are worried about your pet, contact your veterinary practice.
